Terms of Service

1. Introduction

These terms of service ("Terms") govern your use of the cv formatting services provided by Parshwanth Formatting (OPC) Pvt. Ltd., trading as CVFormatic ("we", "us", "our"). By using our services, you agree to these Terms.

Our services are designed for recruitment agencies, staffing firms, executive search firms, and RPO providers ("you", "the client").

2. Services

We provide professional cv formatting services across the following service levels:

• Basic: Content transfer into your branded template. No corrections, no changes.
• Standard: Content transfer with spelling correction and style formatting. Clean and consistent.
• Advanced: The complete package for agencies who want polished, error-free cvs every time.
• Professional (Tense): Full corrections plus tense alignment. Current role in present, past roles in past tense.
• Professional (Perspective): Full corrections plus first-person to third-person conversion. Ideal for client-facing submissions.
• Professional Plus: The works. Tense correction and perspective change combined with full grammar and spelling.
• Bespoke: A custom service built around your agency's exact requirements. For teams that need more than a menu.

3. Free Trial

New clients are entitled to 10 cvs formatted free of charge. The free trial:

• Covers any service level and any speed option
• Requires no payment details or contractual commitment
• Is limited to one trial per agency
• Is subject to the same quality standards and data handling policies as paid work

4. Orders and Turnaround

We offer three turnaround speeds:

• Standard: 12-24 hours
• Express: 90-120 minutes
• Rush: 40-60 minutes

Turnaround times are measured from the point we begin work and are estimates. While we consistently meet these targets, turnaround times are not guaranteed during periods of very high volume or circumstances beyond our control.

5. Pricing and Payment

• Pricing is per page, per cv, and varies by service level and turnaround speed
• Current pricing is displayed on our Services page in GBP and USD
• Invoices are issued monthly and payable within 14 days unless otherwise agreed
• We reserve the right to update pricing with 30 days' written notice to active clients
• There is no minimum order volume and no long-term contract required

6. Revisions

One free revision is included with every formatted cv for service levels Standard and above. A revision covers corrections related to the original formatting brief. Changes to the template, service level, or new candidate content constitute a new order.

7. Quality and Accuracy

All formatted cvs undergo a dual quality check: the formatting specialist completes the work, and a separate QC reviewer verifies it against your template and the selected service level. Our current accuracy rate across 52,000+ formatted cvs is 99.7%.

We are ISO 9001:2015 certified for quality management.

8. Confidentiality

• We sign a Non-Disclosure Agreement (NDA) with every client upon request
• All candidate data, formatted documents, and working files are treated as strictly confidential
• Our staff are bound by confidentiality agreements
• We do not share, sell, or use candidate data for any purpose other than providing our formatting service

9. Data Handling and Deletion

We operate a 3-day auto-delete policy:

• All candidate cvs, formatted documents, and working files are permanently deleted from our systems within 3 working days of delivery
• We are ISO 27001:2022 certified for information security management

10. Intellectual Property

• You retain all rights to your branded templates, logos, and design elements
• The formatted cv is your property once delivered and paid for
• We retain no copies after our 3-day deletion period
• Our website content, branding, and proprietary processes remain our intellectual property

11. Acceptable Use

You agree not to:

• Submit fraudulent or fabricated candidate information
• Use our services for any unlawful purpose
• Attempt to reverse-engineer our formatting processes or quality workflows
• Resell our services as your own without written agreement

12. Limitation of Liability

To the maximum extent permitted by law:

• Our liability for any claim arising from our services is limited to the fees paid for the specific cv in question
• We are not liable for any indirect, consequential, or incidental damages including lost profits or lost recruitment fees
• We are not liable for placement decisions made based on formatted cvs

13. Termination

Either party may terminate the service relationship at any time with no notice period required. There are no exit fees or cancellation penalties. Outstanding invoices remain payable upon termination.

14. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated to active clients via email at least 30 days before they take effect. Continued use of our services after changes take effect constitutes acceptance of the updated Terms.

15. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
